The Payroll & Tax Coordinator is responsible for supporting the day-to-day administrative execution of employment, payroll operations, and legal corporate compliance for the organization's entities.

Operating under the guidance of senior leadership, this role ensures data integrity and adherence to regulatory timelines by processing bi-weekly payroll data, preparing tax documents, and coordinating corporate state filings. This position serves as an essential administrative bridge to the accounting department to support routine financial, tax, and human resources workflows.

Payroll & Tax Coordinator Information

Payroll & Tax Administration:

  • Execute and oversee accurate bi-weekly payroll processing for all designated chapter employees.
  • Manage and ensure the timely submission of local, state, and federal payroll taxes.
  • Coordinate with the accounting department to reconcile payroll entries and assist with other tax-related duties.
  • Assist in the filing of Yearly Form 990s, W2s, and 1099s.

Compliance & Onboarding:

  • Facilitate and review comprehensive background checks for all new employees.
  • Lead the onboarding process for new hires, ensuring all legal and internal documentation is complete.
  • Assist with registered agent compliance to ensure all entities meet legal and jurisdictional requirements.

General & Accounting Support:

  • Manage the full-cycle hiring process, including drafting and posting job advertisements to various platforms.
  • Maintain accurate and organized employee and accounting records.
  • Provide support to other members of the accounting team for payroll and tax-related functions.
  • Update and maintain governing documents and employee manuals.
  • Other duties as assigned.

Qualifications:

  • Bachelor’s degree in Human Resources, Accounting, or a related field.
  • 0–2 years of experience handling basic payroll processing, data entry, clerical accounting, or administrative tasks.
  • Solid understanding of accounting principles.
  • Proficiency in Microsoft Office Suite and accounting software.
  • Strong attention to detail and accuracy.
  • Good organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Expected to work out of the Fraternity Service Center in Evanston, IL.
  • Membership in Sigma Alpha Epsilon Fraternity preferred, but not required.
