SIGMA ALPHA EPSILON
Home Uncategorized

While suspending any chapter of our Fraternity is unfortunate, Sigma Alpha Epsilon has decided to close its chapter at Georgia College and State University for violations of our health-and-safety expectations and guidelines. Moving forward, we will continue to work with our alumni volunteers and university officials to determine an appropriate time to return to campus. Our goal has always been and will continue to be to exemplify our beliefs as outlined in our creed, The True Gentleman and to provide a meaningful, safe, and beneficial experience for Georgia College and State University and the Milledgeville community.

From July 15-17, 2021, Brothers from across the Realm gathered in Des Moines, Iowa for the 165th Anniversary Convention of Sigma Alpha Epsilon. Billed as “the largest chapter meeting,” Convention business included the election of the Supreme Council, proposals to amend the Fraternity Laws, committee meetings, and awards. In addition to celebrating the accomplishments of the Fraternity, the Supreme Council and Fraternity Service Center staff set goals for the upcoming biennium and beyond.

Supreme Council Statements

  1. Expansion. We remain committed to an expedited expansion policy, with an emphasis on re-establishing Phoenix colonies wherever sustainable. We commit to providing updates on our expansion efforts.
  2. Recruitment Training. Across SAE, we must recruit more members who firmly embrace SAE’s mission, vision, and values. We will allocate resources to train our members to be successful in this manner.
  3. Educational Programs. We will routinely refine our educational programs to best support our members. Thoughtful improvements will allow us to better differentiate ourselves from our peers and, as a result, improve expansion and recruitment efforts.
  4. Communications. We will communicate more frequently and substantively with the entire Realm regarding the Fraternity’s challenges, opportunities, and successes.
  5. Alumni Engagement. We will improve our organizational structure to grow alumni programs at the regional level, better track participation across the Realm, and, ultimately, convert our loyal brothers into new and meaningful volunteers and donors.
  6. Board Relations. We best support our members when we strengthen the shared objectives of the Fraternity, Foundation, and F&H. We will work with our peers on these boards to achieve measurable results in a collaborative environment.
  7. Staffing. We are committed to growing our staff to better support our undergraduate chapters and volunteers. Our undergraduate members must be able to sustain SAE’s mission, and we will be flexible on how staffing can best align to meet this objective.

The mission of Sigma Alpha Epsilon is to promote the highest standards of friendship, scholarship, and service for our members, as explicitly outlined in our creed, “The True Gentleman.” As such, it is crucial for our members to be active, thoughtful, and informed citizens in society. The Fraternity seeks to ensure that our members understand, respect, and value diversity in its many forms. Furthermore, we strive to be inclusive in our discussions, thoughts, and operations. These statements serve to make a clear stance on what the Fraternity values most.

WE VALUE the diversity, equity, and inclusion of ALL visible and invisible unique qualities of an individual regardless of and not limited to race, ethnicity, national origin, religion, sexual orientation, gender identity, gender expression, gender attribution, age, socio-economic status, and physical ability. Therefore, we seek and revere the equitable inclusion of differences in others, whereby we learn from and grow with each other.

WE VALUE friendship, scholarship, leadership, integrity, and service as our operational principles where a Brother’s “conduct proceeds from good will and an acute sense of propriety, and whose self-control is equal to all emergencies.” Therefore, as we apply these principles, we ensure our focus is on learning, growth, and development, and the honorable, faithful, and selfless service of others for the greater good.

WE VALUE access, acceptance, and advancement consistent with our belief that our Brotherhood “does not make the poor man conscious of his poverty, the obscure man of his obscurity, or any man of his inferiority or deformity.” Therefore, a Brother acts as a humble servant leader, “who is himself humbled if necessity compels him to humble another; who does not flatter wealth, cringe before power, or boast of his own possessions or achievements.” We welcome all who want to interact with our realm, we preserve the bonds of friendship, and we sustain the lifelong friendships.

WE VALUE justice, fairness, a culture of respect, and the freedom of speech where every Brother “speaks with frankness but always with sincerity and sympathy; whose deed follows his word; who thinks of the rights and feelings of others, rather than his own.” Therefore, Brothers take immediate action when they observe anyone being treated unfairly, unjustly, or in a demeaning manner.

WE VALUE loyalty, friendship, honor, and fraternity, as our foundational guiding principles where a Brother “appears well in any company, (and who is) a man with whom honor is sacred and virtue safe.” Therefore, we actively hold each other accountable and responsible for our actions and deeds consistent with the meaning and application of our guiding principles and Creed.

WE VALUE our fraternity and our ritual as the formational practices from which we build a brotherhood that not only respects and believes in diversity, equity, and inclusion, but will ensure we stand for anti-racism. Lastly, honorably, morally, and ethically, we comport ourselves so as to be examples and role models of the standards conveyed in our Creed, The True Gentleman.

The True Gentleman is the man whose conduct proceeds from good will and an acute sense of propriety, and whose self-control is equal to all emergencies; who does not make the poor man conscious of his poverty, the obscure man of his obscurity, or any man of his inferiority or deformity; who is himself humbled if necessity compels him to humble another; who does not flatter wealth, cringe before power, or boast of his own possessions or achievements; who speaks with frankness but always with sincerity and sympathy; whose deed follows his word; who thinks of the rights and feelings of others, rather than his own; and who appears well in any company, a man with whom honor is sacred and virtue safe.

Evanston, IL — The Fraternity hosted its first virtual Tri-Board meeting on October 9, 2020. Members of the Supreme Council, SAE Foundation Board of Trustees, SAE Financial & Housing Corporation Board of Directors and select staff met via Zoom to discuss the current state of the Fraternity and future of Sigma Alpha Epsilon.

The three entities are working together to develop an “Enterprise Plan,” which will align their strategic plans so that goals and objectives are shared and consistent across the entire organization. The main focuses will be on alumni development and engagement, communications, and relations between the three boards and their respective staffs.

Despite the COVID-19 impact, the Fraternity is still on pace of its goal to establish 20 colonies during the 2019-2021 biennium. Educational programming and services have been moved to virtual formats, and planning has begun for the 165th Anniversary Convention, scheduled for Des Moines 2021.

The Foundation has been performing above its historical averages and will be able to award the same amount in scholarship funds for 2021 as it did in 2020, thanks to a consistent approach and performance by the Investment Committee. Two new programs launched this semester: the TG Talks podcast and a quarterly newsletter for donors. The Board is also in the process of adding new Trustees.

Only two of the fifteen Financial & Housing operated chapter facilities have been closed due to COVID-19 and its related campus restrictions. Those still open have been successfully recruiting members while adhering to state and local health guidelines. Several acquisitions and colony housing opportunities are on the horizon.

EVANSTON, IL – The Supreme Council/Board of Directors of Sigma Alpha Epsilon is proud to announce members of its Equity, Inclusion & Diversity Committee. Under the stewardship of Eminent Supreme Chronicler/Secretary Ben Johnson (UC-Irvine ’87), it will focus on developing and promoting strategies to ensure the values of diversity and inclusion are respected and integrated within the SAE community.

Based on the organization’s values that are specifically enunciated in our creed, “The True Gentleman,” all members of Sigma Alpha Epsilon are expected to “think of the rights and feelings of others rather than his own.” As such, the committee will concentrate on efforts so that all brothers — present and future — feel wanted, welcomed, and connected as members for life.

“These are aspirational goals that we will continue to challenge ourselves so we are living them every day,” said Johnson, “this means, but is not limited to: having difficult but respectful conversations, education, and being intentional about our policies and processes.”

“For Sigma Alpha Epsilon to fulfill its Mission and Vision, we have to take the right steps to meet challenges and respond to a changing environment,” said Greg Brandt, Eminent Supreme Archon, “the Supreme Council and Fraternity Service Center are committed to a maintaining a culture where members feel a deep since of respect and belonging.”

The newly reestablished committee represents our membership’s diversity and will provide insight into one of the many issues important to Sigma Alpha Epsilon. Its initial projects will focus on advancing the intellectual, moral, and spiritual welfare of members and raising chapter educational standards.

Due to many campuses closing and moving to online classes that has made the shipping of membership materials extremely complicated. As the situation of COVID-19 is rapidly changing day-to-day, it is impossible to guarentee that individuals will be at the designated address to sign for a package. Because of this I will be waiving all shipping & return fees for packages that have already been sent out.

What if my chapter paid their initition fees?
Packages may be delayed for the near future. I will attempt to send packages when I am able, but at this time I cannot guarantee anything, please reach out to me at tstokesbary@sae.net.

What if I still owe initiation fees?
Initiation fees are still expected to be paid. Membership is for life. Our Fraternity has faced many trials and challenges over the past 164 years, we will face more challenges in the future. Please continue to collect initiation fees from your new members. If you have any questions please reach out to tstokesbary@sae.net.

What if I have no new members or have already received my materials?
Then there is no action needed. If you do plan on taking more new members as part of the 365 recruitment, please do so provided such activity is sanctioned by your University.

Should I still report new members?
Yes. New members must be reported as soon as they accept their bids. You have 96 hours from bid to initiation. Exceptions will be made rarely and on a case by case basis. Please email tstokesbary@sae.net if you have any questions. The assumption will be that if your insitution is allowing recruitment then there should be no barring of initiation and reporting. MySAE registration and Member Onboarding modules are completely electronic and are expected to be completed.

If you have any questions please email me at tstokesbary@sae.net. Regardless of what issue you are having I expect and hope you will do as you have always done as responsible officers of Sigma Alpha Epsilon and communicate with me about your issue. This will be a challenging time for all of us, but I am confident in our ability to adapt and make the best of this situation.

Sigma Alpha Epsilon is monitoring the impact of COVID-19 on our chapters, universities and communities. We recognize that our university partners may be canceling in-person classes, limiting large gatherings and other steps which effectively close their campuses.

We are committed to supporting our members, chapters, and house corporations as we all adapt to the ever-changing situation. Below you will find recommendations and information regarding key chapter operations, spring events, House Corporation considerations and the  Fraternity’s summer events.

What you should know

Information from this section is credited to the Centers for Disease Control and Prevention. For more information, please visit Coronavirus.gov.

According to the Centers for Disease Control and Prevention (cdc.gov), on February 11, 2020 the World Health Organization announced an official name for the disease that is causing the 2019 novel coronavirus outbreak, first identified in Wuhan, China. The new name of this disease is coronavirus disease 2019, abbreviated as COVID-19. In COVID-19, ‘CO’ stands for ‘corona,’ ‘VI’ for ‘virus,’ and ‘D’ for disease.

There are many types of human coronaviruses including some that commonly cause mild upper- respiratory tract illnesses. COVID-19 is a new disease, caused be a novel (or new) coronavirus that has not previously been seen in humans. The name of this disease was selected following the World Health Organization (WHO) best practice external icon for naming of new human infectious diseases.

Person-to-person spread

The virus is thought to spread mainly from person-to-person.

  • Between people who are in close contact with one another (within about 6 feet).
  • Through respiratory droplets produced when an infected person coughs or sneezes.

These droplets can land in the mouths or noses of people who are nearby or possibly be inhaled into the lungs.

Can someone spread the virus without being sick?
  • People are thought to be most contagious when they are most symptomatic (the sickest).
  • Some spread might be possible before people show symptoms; there have been reports of this occurring with this new coronavirus, but this is not thought to be the main way the virus spreads.
Spread from contact with contaminated surfaces or objects

It may be possible that a person can get COVID-19 by touching a surface or object that has the virus on it and then touching their own mouth, nose, or possibly their eyes, but this is not thought to be the main way the virus spreads.

How easily the virus spreads

How easily a virus spreads from person-to-person can vary. Some viruses are highly contagious (spread easily), like measles, while other viruses do not spread as easily. Another factor is whether the spread is sustained, spreading continually without stopping.

The virus that causes COVID-19 seems to be spreading easily and sustainably in the community (“community spread”) in some affected geographic areas.

  • Take everyday preventive actions to stay healthy.
  • Avoid close contact with people who are sick.
  • Avoid touching your eyes, nose, and mouth.
  • Stay home when you are sick.
  • Cover your cough or sneeze with a tissue, then throw the tissue in the trash.
  • Clean and disinfect frequently touched objects and surfaces using a regular household cleaning spray or wipe.
  • Wash your hands often with soap and water for at least 20 seconds.
  • Follow public health advice regarding school closures, avoiding crowds and other social distancing measures.
  • Stay informed. CDC’s COVID-19 Situation Summary will be updated regularly as information becomes available.

Chapter Operations & Housing Corporation Recommendations
Chapter Meetings
  • Follow the recommendations made by your educational institution on regular gatherings for all registered student organizations. This includes postponing or moving chapter meetings to a virtual setting.
  • If your school recommends canceling all in-person meetings/gatherings, please contact your Chapter Development Team Member so they are aware of the status of your campus. We recommend continuing to meet virtually and using free software such as Google Hangouts. We also recommend reading this article that highlights the best way to engage remote meetings.
Chapter Support/Staff Visits
  • Your Chapter Development Team Member should be your first point of contact for any questions. Chapters which have not yet been visited will receive a virtual visit using Google Hangouts.
Recruitment/Initiation
  • Most chapters are likely to have completed their spring recruitment at this point and have initiated their candidates for membership.
  • For those that have not, they should continue plans to host their recruitment, report members, and conduct the subsequent initiation ceremony within 96 hours of bid acceptance.  Initiations should only be postponed if the University recommends canceling any student meetings or gatherings.
  • Any recommendations made by your institution for the health and safety of students should be followed.
  • Be sure that your chapter reports members within the 96 hour timeframe.
  • If you have questions or concerns, do not hesitate to contact your Chapter Development Team member for support.
Chapter Programming & Events
  • Follow the recommendations made by your educational institution regarding large gatherings and events for student organizations.
  • If your school recommends canceling all in-person meetings/gatherings, Chapter-sponsored events such as social events, brotherhood events, and philanthropy events should be considered non-essential.
  • Consult with your Chapter Development Team Member regarding any existing contracts for space and events. Contracts should be reviewed by the booking party to review any “act of god” clause or otherwise to mitigate cost.
Chapter Finances
  • Dues: Whether you are affected by a campus closure or not, dues collection should continue as planned. If your chapter is affected by a campus closure, consider prorating dues, but be sure to collect enough to pay fixed expenses (Spring invoice, house-related costs, etc).
  • Billing: Payments to the Fraternity, including the Spring Invoice, continue to be owed as planned. Eminent Treasurers should consult with Membership and Records in regards to the payment of the Spring Invoice if it has not yet been paid. Late fees will not be assessed until April 15. The Fraternity will work with chapters and colonies impacted by campus closures.
Chapter Awards Competition

The deadline for nominations for awards by Province Archons and Chapter Development Team Members remains March 16, 2020. Chapters will be contacted by the end of March with the application links to apply for Awards. Contact Educational Programs if your campus closure impacts your ability to complete your awards packet.

We understand that house corporations will have questions and concerns about the potential spread of Coronavirus and the best way to handle an unexpected closure of the facility. We suggest that you consider the following:

  • Follow all guidance provided by the CDC, state/province/local authorities and/or the college or university. If you have not already, we suggest that a member of the house corporation contact the college/university regarding recommendations specific to the campus.
  • Encourage members of the chapter to review the everyday preventive actions recommended by the CDC to help prevent the spread of respiratory diseases.
  • In the case of a member living in, or an employee working in, the housing facility is feeling ill, or is diagnosed with COVID-19, alert local officials and follow their recommendations.
  • Individuals should not be quarantined in a chapter house, nor would it be allowed if there was a known case of the coronavirus. Local authorities will be in the best position to provide guidance as to where members should/could be quarantined.
  • Should the coronavirus be present in any facility, the facility needs to be properly decontaminated prior to approved re-entry.
  • Review all contracts and contact your vendors (food service, cleaning, etc.) to understand your obligations and address  any concerns regarding scheduling impacts due to COVID-19.

If the campus has taken steps to remove students from campus, contact campus officials for clarification and/or direction regarding chapter house facilities. We suggest that all chapters and house corporations follow the directions provided by host institutions.

  • House Corporation officers are responsible for making the decision to close a chapter facility in consultation with the chapter and campus.
  • Determine with campus officials if it is appropriate for students to remain in the facility if classes are cancelled or moved to online platforms. Also determine housing options for students who are not able to return home.
  • If closing the house, work to ensure the safety and security of the facility.
  • If necessary, work to provide students the opportunity to retrieve personal property before returning home.
  • Review rental agreements/contracts and begin to develop a plan for collections and vendors in the event of a long-term closure.
  • Review any relevant or related insurance coverages.
  • Prior to reopening the property, ensure proper cleaning and regular opening procedures.

The Fraternity has cancelled the following events:

  • Central Emerging Leaders Academy (March 27-28)
  • Southern Emerging Leaders Academy (April 3-4)

The Fraternity currently plans to continue hosting all summer events as detailed below:

If your university takes preventative action that requires your chapter to cancel meetings or activities, contact your chapter advisor and collegiate chapter supervisor. These volunteers will help you assess your chapter calendar to identify if events need to be cancelled or rescheduled based on the action taken by your university. Only essential chapter business needs to be completed this academic year.

Essential chapter business for the remainder of the academic year includes:

  • Approving chapter budget for the 2020-21 academic year
  • Meet Virtually
  • Payment of Spring Invoice

You can conduct chapter business virtually.

This will depend on how much and what business your chapter still needs to conduct at the time that meetings and activities are cancelled. For example, if you have already presented your chapter budget and simply need to vote this may be best conducted via email. Conversely, if your Eminent Treasurer needs to present the budget this might be better accomplished via web conference. Work with your chapter advisor and Chapter Development Team Member to determine the best option for your chapter in the event that activities and meetings are cancelled.

Members returning from study abroad should follow guidance from the college/university’s study abroad office regarding returning to campus.

The Fraternity Service Center has been closely monitoring and assessing the impact that the Corona Virus (COVID-19) is having across the realm along with decisions made by our host institutions. We realize that the impact this will have on a number of your operations and future programming could be altered, we encourage you to ensure that you are adhering to your institution’s directives.

In light of the decisions occurring across the country, we are conscious of our traveling staff. We have made the decision to halt the Chapter Development Team from traveling to various chapters to conduct their visitations.

Effective immediately, we are implementing the following temporary adjustments to our chapter visit schedule:

  • If your chapter was scheduled for a visit either by a Manager or Coordinator of Chapter Development, these visits will still occur but will be done by virtual platforms such as Google Hangouts or other platforms
  • If your chapter had already been visited our team will continue to engage in follow up calls, virtual meetings, and interactions with you as normal

By moving these meetings to online-based interactions it will enable all officers to still meet with our staff regardless of their locations. We want to make sure that while we may not be able to be there physically that you can receive the same level of support and guidance without disruption. We will ask for your cooperation as we begin setting these up with your respective staff member.

We ask that you please continue to closely monitor your email and phones for follow up communications from the members of the Chapter Development Team. There will be continued guidance and follow up provided to each group impacted by this change, and we want to make sure that we are maximizing our outreach and support.

We appreciate your patience with this change and certainly want to ensure your chapter’s overall success for the remainder of your spring terms. Our team is here to answer any questions, address any concerns and manage any impact COVID-19 may have on your operations or overall chapters or colonies. If there is anything our team can do in addition to what has been outlined above please don’t hesitate to reach out to your direct Chapter Development Team representatives.

The Fraternity Service Center hopes that you all remain safe and healthy and follow any additional guidelines you have been provided with to limit your exposure or transmission of the virus. It is our hope that this is a short-term impact and we can once again resume normal operations. We will continue to update you if any additional changes are made or future impact occurs.
